Avoiding the Content Silo Trap 

Many authors work in isolation and don't know what other authors in other departments do. This leads to content silos where the same content is written again and again. But different authors write different versions of the same content. This may lead to contradicting statements about the same product, services or business processes which confuses the customer or the user.

Only a collaborative authoring process with content that is designed to be reused will prevent this from happening. This is called a Unified Content Strategy or a OneContent Strategy.

Implementing a OneContent Strategy

Implementing a OneContent Strategy means thinking about creating, managing, and storing content in a new way. A OneContent Strategy consists of three components:

  • Unified Processes
  • Reusable Content
  • OneContent Platform, an Enterprise Content Management System

OneContent is a web-based Enterprise Content Management Platform that supports a unified content strategy or a OneContent Strategy. It integrates in one system all the components you need to manage the lifecycle of your content:

  • authoring structured and reusable content
  • collaborating across departmental boundaries along unified processes
  • managing content which means versioning, translating, indexing etc.
  • integrating existing content from external sources (files, records, emails etc.)
  • delivering content through different channels such as pdf, the web, wireless devices

The OneContent Platform is an open framework  on which you can implement and run your own applications. It can be easily adapted and extended to match customer needs. And it integrates seamlessly with other applications such as SAP.

We recommend her book Managing Enterprise Content: A Unified Content Strategy which is a must read for everyone who is involved in managing enterprise content. And although the book is some years old, the general statements are timeless and independent of the fast technological evolution.

We did not know Ann's work when we developed OneContent together with one of our customers, www.ruag.com, but when we read it, we realized that we had implemented a lot of the concepts that Ann is recommending.
